This Privacy Policy sets out the data processing practices carried out by Security & Vetting Solutions Ltd (herein known as “We” or “Us”) through the use of written information, hard copy information, the Internet and any other electronic communications.

In order to deliver the agreed service to you, your employer, organisation or client, it is necessary for us to collect and store personal information about you which may include your personal details, identity information, career history, financial information & history, criminal record history, your referees, other employer information and any other information for which you have given us explicit consent as applicable and provide.

By providing us with the information we obtain your legal consent to store and process your personal information in accordance with the explicit consent you have given.

For the purposes of career history verification, we act as an agent of your employer, organisation or client and as such has contracted with us for the purpose of career history verification. Your explicit consent permits us to verify your career history and securely pass the search results including all gathered documentation including any evidence or information that you have provided in association with your vetting to your employer, organisation or client without the need to further refer to you.

For the purpose of all other services provided by us, your consent by written or electronic means provides us with explicit consent to process the checks in accordance with the requested service and the consent that you have provided. Your consent will include the provision to securely pass restricted information about you to third parties for the purpose of delivering any aspect of the service. Additionally your permissions include your consent to pass all gathered documentation including any evidence or information that you have provided in association with your vetting, directly to your employer, organisation, agent or client without the need to further refer to you.

For information specifically available in the public domain we may gather this information about you at the request of your employer, organisation or client without the need to further refer to you.

Use of candidate personal information for purpose of security screening & our services.

Your personal information will only be used for the purpose in which you have given explicit consent. Any personal information supplied to us for the purposes of security screening, criminal record disclosures and other services will not be used or shared for any marketing purpose and will not be sold. In order to conduct the security screening services we will only use the minimum of relevant data to secure any information necessary for the performance of our service.

Where applicable, we may pass relevant and specific elements of your data to third parties for the purpose of conducting our services. E.G. Identity checks, Disclosure & Barring Service, credit bureau’s, Disclosure Scotland, government organisations, law enforcement agencies, ex-employers and other relevant organisations. Your personal data may be used by these bodies for the purpose of checking details and for the prevention of crime.

Your personal information is only processed with your knowledge and explicit consent as follows:

  • Only information that we actually need is collected and processed.
  • Your personal information is only seen by those who need to process it for the purpose of performing the service or services.
  • Personal data is not used for any reason other than given in your explicit consent, unless we are required to relinquish this data by law.

Data Retention Period

Unless otherwise agreed in writing, following service completion, we may retain your personal data, physical and/or electronic data for a period of up to 6 months after which it will be securely destroyed using industry best practice methods.
